Guidelines and Policies

The Archives of Head and Neck Surgery is the official scientific journal of the Brazilian Society for Head and Neck Surgery and the Latin American Federation of Societies of Head and Neck Surgery. It is a multidisciplinary journal published monthly online, whose articles are published under continuous flow after their final edition, forming a single volume every year. Its aim is to make available original articles from authors all over the world, which have been approved for publication by the Editorial Board’s specialist reviewers. The articles published contain clinical and experimental information related to the anatomical segment of the head and neck and are of interest for the specialization of Head and Neck Surgery and related specializations and similar basic sciences.

The journal adopts the Standard Requirements for Manuscripts Submitted to Biomedical Journals under the agreement of the International Committee of Medical Journal Editors.

Editorial policy

All articles are evaluated by at least two reviewers. The Editorial Board is composed of specialists with published studies in indexed journals who receive submissions anonymously, evaluate the articles and decide whether the manuscripts are eligible for publication. Acceptance is based on the originality and significance of the material presented. Only studies that conform to the Journal’s publication standards will be submitted for evaluation. The author(s) are responsible for concepts or assertions proposed in studies in the Journal. Manuscripts should not have been published in any other jornal nor be under consideration simultaneously for publication elsewhere. However, manuscripts that have been rejected by other journals are still eligible for consideration. Multi-part publications should be avoided and secondary publications in another language will be considered individually.

Authorship

All persons named as authors are responsible for the authorship of the manuscript and need to have participated sufficiently in the study to be able to assume public responsibility for its content.

Authorship credit should only be based on substantial contributions during the stages of (a) conceptualization, planning, execution and results analysis and interpretation; (b) compilation and writing of the article or review in an intellectually meaningful manner; (c) final approval of the version to be published.

Participation that is limited only to fund-raising, data collection, general supervision or being the head of a research group does not justify authorship of the manuscript.

The Editors may request justification for author inclusion, during the manuscript review process, especially if the total number of authors exceeds six.

Article categories

The following types of article are accepted for publication:

Original article. Original clinical or basic area investigations, extensive clinical experience, technique descriptions and systematic reviews. Manuscript size: Submissions should contain an abstract in English of 200 to 250 words and a maximum of 20 typed pages (double-spaced, not including the abstract). A maximum of 30 references and a total of 15 figures and/or tables are allowed.

Literature review (invited only). Literature reviews of instructional value on important topics. Manuscript size: Reviews should contain no more than 20 double-spaced, typed pages and 50 references. One author and two co-authors are allowed.

Case report. Reports on highly relevant and educationally significant cases. Submissions must include an unstructured abstract in English of up to 100 words. Manuscript size: The manuscript can contain up to three double-spaced pages, five references and three figures. The maximum number of authors is five.

Letter to the Editor. Brief letter about previously published material. The authors of the original material are invited to respond whenever possible. Manuscript size: the letter can be up to two typed pages (double-spaced) with five references.

Preparation of the manuscript

The journal adopts the recommendations of the International Committee of Medical Journal Editors (ICMJE), as laid out on the ICMJE website: www.icmje.org.

Studies will be accepted in Portuguese or English. After acceptance for publication, the articles will be translated into English by the Journal, since this is its official language.

Abbreviations, if necessary, must be written out in full the first time they appear in the text, with the term being followed immediately by the abbreviation in parentheses.

Abstract. Original articles must have an abstract in English, which should consist of 200 to 250 words. It should appear on a separate page, as a single paragraph and have the following structure: Introduction; Objective; Materials and Methods; Results; and Conclusion. Three to five key words in English following the abstract should be presented, as standardized in the Medical Subject Headings of the Index Medicus (MeSH).

Text. The text must be clear and concise. Original articles should be divided into: Introduction; Materials and methods; Results; Discussion; and Conclusion. Generic names for drugs and equipment are to be used whenever possible; the proprietary names have to be cited after the first mention. Equipment must be identified by the name and the place of manufacture.

Ethical matters. All articles must clearly state that approval was obtained from the Institutional Review Board at the place where the study was conducted or its equivalent.
Acknowledgements (if applicable). Statisticians or any other individuals who contributed to the study but who were not co-authors should be mentioned, indicating names, academic titles and institutional affiliations. 

References. The authors are responsible for the accuracy and formatting of the references. The reference list should start on a separate page, just after the Acknowledgements (or Conclusions). References are identified in the text, tables and legends using Arabic numerals placed on the same line of the sentence, in superscript form. The references should be numbered consecutively in the order in which they are cited for the first time in the text, regardless of alphabetical or chronological order. The Vancouver style format should be adopted and all authors mentioned. Cite unpublished data, personal communications and manuscripts submitted (but still not accepted), as footnotes in the text.

Tables. Tables must be placed on separate pages, just after the References. They must be numbered consecutively in the order in which they are cited in the text. Each table must have a concise legend placed above it. Abbreviations used in the table must be defined in footnotes.

Figures. Figures should be numbered consecutively starting with the first citation in the text with Arabic numerals. Each figure needs to have a legend and figures in color are encouraged. A list of figure legends must be placed on a separate page just after the tables. If already published figures are reproduced, the source must be acknowledged and the authors should forward a copy of the owner’s written authorization for the reproduction. Photographs involving human beings must give due regard to the individual’s privacy. Failing this, the authors must provide written authorization from the patient or their responsible guardian. Figures must be submitted in electronic format, as high resolution TIFF or JPEG files.

Submission of the manuscript

Submissions should only be made online, via the Journal’s internet address. Click here to access the onlin submission system.

When the author enters the Journal’s website, the system will ask for the username and password. If these have not been registered, this should be done during the initial submission process. In the event of forgetting the password, the reminder option to generate an e-mail message containing this information can be used.

The submission process consists of straightforward steps described in the link or website.

All articles submitted online for publication must be accompanied by a letter signed by the corresponding author on behalf of all authors, declaring that the article has not been previously published and is not being considered for publication by any other journal and giving authorization for publication in this Journal. The letter must include: (1) a declaration of Conflict of Interest; and (2) information regarding funding sources, if any, including the grant/procedure number.
Authors should keep a copy of all material sent.

Studies not in compliance with all requirements or that are considered inadequate for publication will be returned to the author(s) with suggestions for alterations.

Anti plagiarism policy

The Archives of Head and Neck Surgery does not condone any kind of plagiarism. Authors are fully responsible for plagiarism and are advised to avoid it during the manuscript submission process. Any sentence that has already been published in another article, including by the same author(s), must be duly referenced. All manuscripts submitted to Archives of Head and Neck Surgery will be checked for plagiarism. Any intentional or unintentional plagiarism identified by the plagiarism detection software will be viewed as a serious matter and as grounds for rejection of the manuscript. 

Procedures after submission

A confirmation e-mail will be sent on receipt of the article. The Editor or Editorial Board will determine if the article meets the Journal’s standards, with a preliminary evaluation in which the following are checked: (1) whether the article follows the format recommended for the category in which it has been classified by the authors; and (2) whether all the references have been formatted using the Vancouver style. If there is any error in formatting, the article is returned to the authors for changes prior to resubmitting the article.

Next, each article is forwarded to at least two reviewers. In accepting the task, the reviewers commit themselves to returning the material with their appraisals and suggested corrections within twenty days. The reviewers’ appraisals may suggest modifications aimed at improving the quality of the research and adapting it for publication. They may decide that the article can be accepted, corrected for subsequent reevaluation or rejected. The article is then sent back to the authors, communicating the reviewers’ decision. Once the recommended corrections have been made by the authors, the article is resubmitted to the reviewer(s) for further consideration and final appraisal. 

All the above communications are made via internet. Approved manuscripts are then translated into English (when submitted in Portuguese), reviewed by the editor responsible for publication and the proofs are sent to the authors for final approval. For editorial purposes, the Editors reserve the right to make small graphical or textual modifications, without interfering with the article’s content.

Subsequently, the article will be sent for publication under continuous flow.

Copyright

If the manuscript is accepted, the author identified as the formal corresponding author will receive an email directing them to login into Author Services, where they will complete the license agreement on behalf of all the authors. 

Authors’ rights for published articles will belong to the Brazilian Society for Head and Neck Surgery. For use of articles in other publications, in full or in part, permission must be sought from the Editors.
